These Terms of Service govern your use of The Bowls Club Hub.

By creating an account, starting a free trial or purchasing a subscription, you agree to these Terms of Service.

1. About The Bowls Club Hub

The Bowls Club Hub is an online software service designed to help bowls clubs organise projects, tasks, responsibilities, deadlines and other club activities.

The service includes features such as project templates, task management, calendars, reminders, user accounts, project progress, comments, documents and other functionality that we may introduce or improve over time.

The Bowls Club Hub is intended to help clubs organise their work. It does not replace the judgement, responsibility or decision making of the club committee.

2. Club subscriptions

A subscription is purchased by the club.

One club subscription provides access for the club and its authorised committee members and users.

There is no separate charge for individual users.

The number of users connected to the club does not change the subscription price.

The club is responsible for deciding who should have access to its account and information.

3. Free trial

We offer a 30 day free trial unless otherwise stated at the time of registration.

The free trial allows you to use The Bowls Club Hub before deciding whether to purchase a subscription.

We may limit one free trial per club.

At the end of the free trial, the club must purchase a subscription to continue using the paid service.

If a subscription is not purchased, access to paid features will end.

4. Subscription price

The standard subscription price is currently £199 per year per club.

Where a club qualifies for the founding club offer, the founding price is £149 per year per club.

The founding club price is available to qualifying clubs that join before 31 December 2026.

The founding price remains available while the club maintains an active subscription, subject to these Terms.

We reserve the right to change our standard subscription price in the future.

Any price change will not affect a subscription period that has already been paid for.

5. Payment and renewal

Subscriptions are paid annually in advance.

Unless otherwise stated, subscriptions automatically renew annually using the payment method held by our payment provider.

You can cancel your subscription before the next renewal date to prevent the next annual payment.

Your current subscription will normally remain active until the end of the period that you have already paid for.

6. Cancellation

The club can cancel its subscription at any time.

Cancellation prevents the subscription from renewing for another annual period.

Unless otherwise required by law, cancelling a subscription does not result in a refund for the remaining part of the current subscription period.

7. Refund policy

Payments for an annual subscription are normally non refundable once the paid subscription period has started.

We therefore encourage clubs to make full use of the 30 day free trial before purchasing an annual subscription.

We do not normally provide refunds because a club does not use the service, uses it less than expected, changes its mind or has unused time remaining on its subscription.

This does not affect any rights that cannot legally be excluded or restricted, including applicable statutory rights relating to the provision of digital services.

Where we are legally required to provide a refund or other remedy, we will comply with those requirements.

Nothing in these Terms is intended to remove or restrict rights that you have under applicable law.

8. Your account

You must provide accurate information when creating an account.

You are responsible for keeping your login details secure.

You must not knowingly allow unauthorised people to access your account.

If you believe that someone has gained unauthorised access to your account, you should contact us as soon as possible.

9. Club administrator responsibility

Each club should have at least one person, an administrator, responsible for managing its users and access.

The club administrator is responsible for:

  • Inviting appropriate users
  • Removing users who should no longer have access
  • Assigning appropriate roles
  • Keeping club information accurate
  • Deciding what information should be entered into the service
  • Ensuring that users have appropriate authority to access club information

10. Your content

You retain ownership of the information, documents, notes, comments and other content that you enter into The Bowls Club Hub.

You give us permission to process and store that content only as reasonably necessary to provide, maintain, secure and improve the service.

You must ensure that you have the necessary rights and permissions to upload or share content through The Bowls Club Hub.

You must not upload content that is unlawful, defamatory, fraudulent, abusive or that infringes another person's intellectual property or privacy rights.

11. Personal information

Where you enter personal information about committee members, volunteers or other individuals into The Bowls Club Hub, you are responsible for ensuring that you have an appropriate legal basis for doing so.

Our Privacy Policy explains how we process personal information.

Where The Bowls Club Hub processes personal information on behalf of a club, the parties may also need appropriate data processing arrangements depending on the circumstances.

12. Acceptable use

You must not use The Bowls Club Hub to:

  • Break the law
  • Attempt to gain unauthorised access to the service
  • Interfere with the security or operation of the service
  • Introduce malicious software
  • Attempt to access another club's information
  • Use the service to distribute unlawful or harmful material
  • Copy, reproduce, sell or commercially exploit the service without our permission
  • Attempt to reverse engineer or recreate the underlying software

We may suspend access where we reasonably believe that the service is being misused or that there is a security risk.

13. Service availability

We aim to keep The Bowls Club Hub available and working reliably.

However, we cannot guarantee that the service will always be available without interruption.

The service may occasionally be unavailable because of:

  • Planned maintenance
  • Emergency maintenance
  • Technical problems
  • Hosting or infrastructure problems
  • Security incidents
  • Internet or third party service failures
  • Circumstances outside our reasonable control

We will take reasonable steps to restore the service as soon as reasonably possible.

14. Changes to the service

We may update, improve, modify or remove features from The Bowls Club Hub from time to time.

We may introduce new features and improve existing functionality.

We will not remove the core purpose of the service without reasonable consideration of the effect on existing customers.

15. Third party services

The Bowls Club Hub may rely on third party services to provide certain functionality, including payment processing, email delivery, hosting, security and other technical services.

We are not responsible for interruptions or failures caused solely by third party services outside our reasonable control.

16. Intellectual property

The Bowls Club Hub software, design, branding, templates, written content and other materials provided by us remain our property or are used by us under appropriate permission.

Your subscription gives you permission to use The Bowls Club Hub during your active subscription.

It does not transfer ownership of the software or our intellectual property to you.

17. Project templates and information

The Bowls Club Hub contains ready made project templates and suggested tasks based on common bowls club activities.

These are provided as practical guidance.

Every club is different and you remain responsible for deciding which tasks are appropriate for your club, when they should be completed and who should carry them out.

We do not guarantee that every project or task listed in The Bowls Club Hub will apply to every club.

You should use your own judgement and obtain appropriate professional advice where necessary.

18. Documents and club records

The Bowls Club Hub may allow you to upload and store documents and other club information.

You are responsible for keeping appropriate copies of important records.

The Bowls Club Hub should not be treated as the only copy of important legal, financial, insurance or other critical club documents.

19. Backups and data loss

We take reasonable steps to protect information stored within The Bowls Club Hub.

However, you acknowledge that no online service can guarantee that data will never be lost, corrupted or unavailable.

For important documents and records, we recommend that clubs maintain appropriate backup copies.

20. Suspension or termination

We may suspend or terminate access to The Bowls Club Hub where:

  • A subscription payment is not made
  • These Terms are seriously breached
  • The service is being used unlawfully
  • There is a significant security risk
  • Suspension is reasonably necessary to protect the service or other users

Where appropriate, we will provide reasonable notice before suspension or termination.

21. What happens when a subscription ends

When a subscription ends, access to the club's account and paid features may be removed.

We may retain club information for a limited period after cancellation before permanently deleting it, subject to our legal obligations and Privacy Policy.

Clubs should export or otherwise retain any information they need before their subscription ends.

22. Limitation of liability

We will provide The Bowls Club Hub with reasonable care and skill.

Nothing in these Terms excludes or limits liability where doing so would be unlawful.

Subject to that, we are not responsible for indirect or consequential losses, loss of opportunity, loss of reputation or losses resulting from the club's failure to use the service appropriately.

We are also not responsible for decisions made by a club or committee based on information, suggested tasks or project templates provided through The Bowls Club Hub.

Nothing in these Terms affects any legal rights that cannot be excluded or limited.

23. No guarantee of results

The Bowls Club Hub is designed to help clubs organise their work.

We do not guarantee that using The Bowls Club Hub will result in increased membership, increased fundraising, successful events, additional sponsorship, improved finances or any other particular outcome.

The results achieved will depend on how the club uses the service and the circumstances of the individual club.

24. Changes to these Terms

We may update these Terms from time to time.

If we make material changes, we will take reasonable steps to notify active customers.

The updated Terms will apply from the date stated in the updated version.

25. Complaints

If you have a complaint about The Bowls Club Hub, please contact us first.

We will aim to understand the issue and work with you to resolve it where reasonably possible.

26. Governing law

These Terms are governed by the laws of England and Wales.

The courts of England and Wales will have jurisdiction, subject to any mandatory rights that apply to you under applicable law.
